Invoices
Ask AI about this page
One usage invoice per calendar month, generated at the start of the next month, emailed to you and kept under Billing > Invoices, with charges, subtotal, tax and total. Customers outside Canada are tax exempt. Canadian customers pay GST or HST by province. Print any invoice to save a PDF.
Where to find your invoices#
Every monthly statement lives in the customer portal under Billing. The Invoices card lists them newest first, each row showing the invoice number, the billing period, the subtotal, the tax and the total. You also receive each invoice by e-mail at your account address the moment it is issued, with a link straight to the same page.
What an invoice shows#
Open an invoice number to see the full statement. It carries the invoice number and the billing period at the top, the seller (TelecomsXChange Canada Inc.) and your own billed-to details, then a table of the month's charges:
- Call minutes at your plan's per-minute rate.
- Transcription and AI analysis, the per-call analysis fee for your AI mode; one fee covers both.
- Plan fee and overage minutes, if you are on a bundle.
Below the lines sit the subtotal, the tax line, and the total. The footer notes your call and minute counts for the month.
How tax is applied#
Tax follows the billing country on your account. Customers outside Canada are tax exempt: the tax line reads "Tax exempt (outside Canada)" and adds nothing. Canadian customers are charged GST or HST at the rate for their province, for example 13% HST in Ontario, 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island, 14% in Nova Scotia, and 5% GST elsewhere. The seller's GST/HST registration number is printed on every taxed invoice.
Usage is prepaid; tax is added on the invoice
Your usage is debited from your prepaid balance as each call is analyzed, so the invoice restates what was already charged that month. For Canadian customers the GST/HST is debited from the balance when the invoice is issued, and shows in your ledger as a Tax (GST/HST) line, so your ledger, balance and invoice always agree.
Printing or saving a PDF#
At the top of any invoice is a Print / Save PDF button. It opens your browser's print dialog, where you can send the invoice to a printer or choose "Save as PDF" to keep a copy. The printed page shows only the invoice itself, without the portal navigation.
Set your billing address and tax residency#
So your invoices carry the right details and the correct tax, fill in your billing information under Billing > Billing address & tax residency:
- Address (line 1 and 2, city, postal or ZIP code), printed in the invoice's billed-to block.
- Country, which decides whether tax applies: outside Canada is tax exempt, Canada is taxed.
- Province (for Canadian customers), which sets the GST or HST rate.
- Tax ID / VAT number, on the separate Tax ID card, shown on your invoices for your records.
Changes apply to invoices issued from that point on. A previously issued invoice keeps the details it was generated with.
Low balance alert#
Calls are refused with a 402 once the prepaid balance cannot cover them, so the portal warns you before that. The low balance alert is on for every account at US$50: when your balance drops under the threshold you get one e-mail at your account address, and a post to every notification channel you have connected (the same channels your alert rules use). Under Billing > Low balance alert you can change the amount or switch it off.
- Once per drop. One notice when the balance crosses under the threshold, nothing more while it stays low.
- Arms again after a top-up. Once the balance is back at or above the threshold, the next drop under it is reported again.
- Not on the signup credit. A new account arms the alert the first time its balance reaches the threshold, so the free credit never reads as "low".
- The card says where it stands: armed, off, or when the last notice went out.
Frequently asked questions#
When is my invoice generated?
At the start of each calendar month, for the previous month. The statement is generated automatically, emailed to your account, and appears in the portal under Billing > Invoices. A month with no charges produces no invoice.
How do I get my invoice?
Two ways. It is emailed to your account address when it is issued, and it is always available in the portal under Billing > Invoices. Open any invoice and use Print / Save PDF to keep a copy.
Do you charge tax?
Customers outside Canada are tax exempt and the invoice says so. Canadian customers are charged GST or HST at the rate for their province (for example 13% HST in Ontario, 5% GST in Alberta). Set your country and province under Billing address & tax residency so the right rate is applied.
Was I already charged, or does the invoice charge me?
Your usage (call minutes, AI analysis fees, plan and overage) is debited from your prepaid balance as it happens, so the invoice is a statement of what was already charged that month. For Canadian customers the GST/HST is debited from the balance when the invoice is issued, so your ledger, balance and invoice always agree.
Can I get invoices for past months?
Yes. Every issued invoice stays in the portal under Billing > Invoices. If you need a statement for a month before invoicing was enabled on your account, contact support and we can issue it.
Will I be warned before my balance runs out?
Yes. The low balance alert is on for every account at US$50: when your prepaid balance drops under the threshold you get one e-mail at your account address, and a post to any notification channel you have connected. It is sent once per drop, never repeated while the balance stays low, and arms again once a top-up takes the balance back above the threshold. Change the amount or switch it off under Billing > Low balance alert.
